Students who have not presented by e-mail their proof of studentship by June 21, 2010 are asked to show these documents upon arrival at the registration desk. Without these documents a non-student fee will be charged.

GENERAL INFORMATION

Members of the FENS member organizations and of the American Society of Neuroscience (SfN) - under certain conditions - are eligible for reduced rates. Speakers and chairs of the plenary lectures, parallel symposia and workshops have their fees waived, but they have to complete their registration electronically and submit an abstract of their presentation before February 8, 2010.

The standard registration fee includes:
  • attendance of the scientific programme (except for accompanying persons),
  • conference bag with programme book and CD-ROM,
  • entrance to the opening reception with snacks and drinks,
  • ticket for free public transportation in Amsterdam city,
  • access to the reservation system of RAI Hotel Services
Technical workshops, abstract book and registration for some specific events such as the FENS/IBRO Alumni party and the student party Jump the FENS require an additional payment.

Dutch neurologists and psychiatrists participating at the Forum will be accredited of 20 CME points.

Registration and abstract submission can be performed in a few steps via this website. Once registered, you can always change or add items to your registration data. Final registrations as well as payments will be confirmed by e-mail. The following sections provide you with more detailed information about registration and abstract submission.

For registration the following categories for participants apply:
Member: A member of one of the societies affiliated to FENS (see the FENS membership page for further information)
or a member of the American Society for Neuroscience (SfN) - under certain conditions
Non-member: A participant from academic or non-profit organizations
Student: A pre-doctoral student. Postdoctoral fellows, hospital residents, interns and laboratory technicians do not qualify for the student rate. Students registering on-line must send by e-mail a proof of their status. Upon on-site registration such a proof should be presented as well. Students will receive a special badge.
Corporate: A participant from a company.
Accompanying person (guest): A guest must be a non-scientist, guest of a registered participant. Individuals under the age of 16 cannot attend the meeting without adult supervision. The fee includes a badge and admittance to the social events as well as a ticket for public transportation during the meeting. Guests are not admitted to the scientific events.

Connect to the FENS Forum website, click on Registration then on the registration form link. Use the pull-down menu to select a registration category.
Fill in the fields with the appropriate information and click on Continue.

Registration
You are required to go through the 4 steps of the registration form. The form will be saved by clicking on Continue at the last step.

Contact information
The personal information must be typed in the appropriate fields on the registration form. Please check that your e-mail address is correct as all information concerning the Forum will be sent to you via this electronic address.

A get-together for students and faculty of previous FENS and IBRO Schools and IBRO VLTP courses. Alumni must register online and collect their ticket for free admission at the general registration desk of the FENS Forum located in the convention centre. Registration required, first come, first served!

Abstract books will be distributed on request only at an extra fee of € 45.

Registration category
Click on the appropriate radio button corresponding to your status as academic, student or corporate. The registration fee will be filled automatically according to your status (see registration fees & categories). Students are required to send a proof of their status (e.g. a signed statement from their Department Head or supervisor to the registration secretariat, see Supporting documents).

Membership
If you are a member of one of the European neuroscience societies constituting FENS, or another affiliated society and if you have not mentioned it at the beginning of the registration procedure, use the pull-down menu to select your society. Following an agreement between FENS and the American Society for Neuroscience, members of the latter society can also benefit from the same registration fees as the FENS members under certain conditions. Note that your membership will be checked with these societies.

Technical workshops
There is an extra fee of € 55 for technical workshops. This fee is automatically calculated if you have selected a technical workshop on page 2 of the registration form. If you wish to cancel this option, edit your registration form and change the selection on step 2.
Please note that the number of participants is limited.

Abstract books
This fee is automatically calculated if you have selected this option on page 3 of the registration form. If you wish to cancel this option, edit your registration form and change the selection on step 3.

FENS / IBRO Alumni party
This fee is automatically calculated if you have selected this option on page 3 of the registration form. If you wish to cancel this option, edit your registration form and change the selection on step 3.

Jump the FENS - Student party
This fee is automatically calculated if you have selected this option on page 3 of the registration form. If you wish to cancel this option, edit your registration form and change the selection on step 3.

Means of payment
The recommended means of payment is by credit card (Visa or Eurocard/Mastercard). FENS has subcontracted payment by credit card to a secure payment service that guarantees confidentiality and security.
You can also pay by bank transfer. Please note that the payment must be sent free of charge for the beneficiary and that there are additional handling fees (€ 15) for this means of payment.
Please enter the bank transfer reference in the appropriate field.
Institutional orders (from universities, institutes, etc.) and cheques are not accepted. Refer to the payment section for details.

REGISTRATION EDITING

Connect to the FENS Forum website, click on Registration then on the registration form link. Select "I wish to view / edit my registration" in the pull-down menu.
Type in the registration number and confidential code as they were provided on your registration confirmation, then click on Edit or View.

To modify your registration, you are required to go through the 3 or 4 steps of the registration form (depending on the registration type). Changes will be saved by clicking on Save at the last step.

Do not send a copy of the modified registration form to the Registration secretariat, unless you have a problem.

PAYMENT

Institutional orders (from universities, institutes, etc.) and cheques are not accepted. Payments shall be made in Euro.

Credit card
This is the recommended means of payment.
Click on the "Credit Card Payment" button at the bottom of the registration confirmation page. You will be connected to a secure site (SSL) for electronic payment.
Please note that only Visa or Eurocard/Mastercard are accepted.
Follow the instructions to complete the form, then submit it. WAIT for the bank receipt, even if the transaction fails or if you cancel it yourself. DO NOT FORGET TO PRINT IT.

You must RETURN to the Forum website by clicking on the button "Return to FENS Forum", in order to validate your transaction. Be patient and do not quit your web browser before the end of the procedure.

Bank transfer payments will only be accepted until May 1, 2010. An extra-cost of € 15 will be charged as handling fee by the Forum secretariat.

Students
- A proof of your student status (e.g. a signed statement from your Department head or supervisor),
- A copy of your registration confirmation,
- In addition, if you pay by bank transfer, a copy of the bank transfer receipt.
Do not send a copy of your abstract confirmation.
Note: the student status proof has nothing to do with the requests for travel grants. For grants, refer to the travel grants page.

Other participants
- If you pay by credit card, you have completed your registration: DO NOT send anything to the secretariat.
- If you pay by bank transfer, send a copy of your registration confirmation together with a copy of the bank transfer receipt.
Do not send a copy of your abstract confirmation.

CANCELLATION POLICY

Registration
Cancellations are accepted by e-mail to the registration secretariat, using the contact form.
The registration fee will be refunded minus 30% for cancellations received no later than March 31, 2010. Thereafter no refunds will be made.
All refunds will be processed AFTER the Forum.
Please note that if you are 1st author of an abstract and cancel your registration, your abstract will not be published.

Abstract withdrawal only
Abstract withdrawal can be requested by e-mail to the FENS Forum Server Office, using the contact form. Only first authors are allowed to withdraw an abstract. State your name, registration number and confidential code in the e-mail message. Withdrawal of an abstract without cancelling registration does not entail refund of the registration fee.
Deadline for withdrawal is April 15, 2010.

Abstract without paid registration
Submitted abstracts will not be published if the first author cancelled his/her registration, or if the payment of the registration fee is not received on the FENS Forum 2010 bank account by April 15, 2010.
